AI takeoff platforms vs. having somebody do the takeoff

A growing group of companies — Beam, Togal, xBuild and others — are building AI-assisted takeoff platforms for construction. They are real products solving a real problem, and the direction is right: this work should not be done by hand forever.

What follows is not an argument that platforms are bad. It is an argument about when a platform is the right purchase, because that is the part that usually gets skipped in a sales call.

Where a platform is the better buy

Be honest about which of these describe you, because if several do, you should buy the software and not call us.

• You bid constantly. High, steady volume amortizes a subscription. At some point per-job pricing costs more than a seat, and that crossover is real.
• You already have an estimator. If somebody is doing this full time, giving them a better tool beats outsourcing what they are paid to do.
• You want the takeoff in-house permanently. Some shops consider estimating a core competency and will never outsource it. That is a legitimate strategy, not a mistake.
• You need it inside your own workflow. If the takeoff has to live in a specific system that integrates with your ERP or fabrication software, a platform that connects to it is worth the license.
• You bid multiple trades. We do sheet metal. A general platform covers more.

Where this makes more sense

• Your bid volume is uneven. Four plan sets in March and none in July. A subscription bills the same either way.
• You are the estimator. If you own the shop and bid the work at night, the constraint is your hours, and better software does not give you more of them.
• You want to test the idea before you commit. One plan set, one flat price.
• You do not want another login. Some shops genuinely do not want a tool. Nothing wrong with that.

The part nobody advertises

Any takeoff — done by a person, by software, or by software with a person checking it — is a reading of a drawing set. Drawings are ambiguous. Specs contradict plans. Addenda land the week of the bid. The value is not only in the counting; it is in knowing which ambiguities are going to cost you money and flagging them before you bid rather than after.

That is a trade judgment, and it is the reason we send back a list of what we could not resolve along with the numbers.
